Privacy Policy

This Privacy Policy explains how 24SevenReception collects, uses, and protects information when contractors use our AI receptionist, scheduling, lead capture, and calendar services.

Information We Collect

We collect account information such as names, email addresses, business details, service areas, business hours, plan status, and settings. When calls are handled by the service, we may collect caller names, phone numbers, service addresses, requested service details, appointment times, call transcripts, call metadata, and related notes.

To protect trials and prevent abuse, we may also collect and store verification and security signals such as normalized business name, business phone, business address, email domain, verified phone status, billing customer identifiers, payment method fingerprints provided by our payment processor, IP-derived hashes, browser or device user-agent hashes, signup country, and account review status.

If you request a live demo call, we collect the demo form details you provide, phone verification status, call metadata, call transcript, summary, lead score, and follow-up notes.

How We Use Information

We use information to answer calls, qualify leads, create appointments, send notifications, sync calendars, maintain call and lead records, provide support, improve service quality, prevent abuse, and operate the platform.

We use trial and verification signals to enforce one trial per business identity, payment profile, and verified phone number, to detect suspicious repeat signups, and to decide when an account requires manual review before provisioning phone numbers or enabling service features.

We use demo call information to provide the demo, prevent abuse, improve product quality, score sales intent, send follow-up messages, and notify our team.

AI Call Handling

Calls may be processed by third-party voice, transcription, text-to-speech, and AI model providers so the receptionist can understand callers and respond. We use third-party AI model providers, including OpenAI, to process call transcripts and conversation context for call handling. Call content may be converted to text and used to create leads, appointments, summaries, and notifications.

We do not use Google user data to train generalized AI or machine learning models. We do not permit our service providers to use Google user data for advertising, data brokerage, creditworthiness, lending, or unrelated model training purposes.

Google Calendar Access

If you connect Google Calendar, we use your authorization to check availability and to create, update, or delete calendar events related to appointments handled by 24SevenReception. We may collect and process Google Calendar event information such as calendar identifiers, event identifiers, event times, availability, appointment titles, descriptions, locations, attendee emails, and the access and refresh tokens needed to maintain the integration.

We use Google Calendar data only to provide or improve user-facing calendar and appointment features, including checking available booking times, creating appointment events, updating or canceling appointment events, reconciling local appointment records with calendar events, and helping users manage their scheduling workflow.

The use and transfer of raw or derived user data received from Google Workspace APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

We do not sell Google user data, use it for advertising, use it for unrelated marketing, transfer it to data brokers, use it to determine creditworthiness, or use it for lending purposes. We do not use Google user data to train generalized AI models.

We may share, transfer, or disclose Google user data only as needed to provide and operate the service. This may include sharing data with Google APIs to maintain the calendar integration; hosting, database, and infrastructure providers that store and run the application; error monitoring providers that help diagnose service issues; and email or SMS providers when appointment details must be sent as transactional booking notifications. These providers process the information only as needed to support 24SevenReception and are not permitted to use Google user data for their own advertising or unrelated purposes.

You can disconnect Google Calendar access from your Google account permissions or by contacting us. After disconnection, we stop using Google Calendar access for new calendar sync actions unless you reconnect the integration.

SMS and Email

We may send transactional emails or SMS messages about bookings, appointment confirmations, rescheduling, cancellations, account setup, or service notifications. Message and data rates may apply for SMS.

We may send SMS verification codes to confirm that a business phone number belongs to the account holder before a receptionist number is claimed.

If you request a live demo call, we may send SMS verification codes and follow-up messages related to the demo and signup.

Service Providers

We use service providers for hosting, authentication, database storage, telephony, transcription, AI processing, email, SMS, analytics, payments, and calendar integrations. These providers process information only as needed to support the service.

Payment and billing checks are handled through Stripe. Telephony and SMS verification are handled through Twilio. AI call handling may be handled through third-party language model providers such as OpenAI. Operational error monitoring may be handled through Sentry. Email delivery may be handled through Resend. Application hosting and database services may be handled through providers such as Vercel, Railway, and Supabase.

Data Retention

We retain account, call, lead, appointment, and operational records for as long as needed to provide the service, comply with legal obligations, resolve disputes, and maintain business records. You may request deletion of your account data, subject to legal and operational requirements.

Trial-abuse, verification, billing, and security records may be retained after cancellation or account deletion where needed to prevent repeated free-trial abuse, fraud, chargebacks, or misuse of phone numbers.

Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information. No internet service is completely secure, and we cannot guarantee absolute security.

Your Choices

You can update business settings in your dashboard, revoke connected calendar access, request account deletion, or contact us about privacy questions. Some information may be retained where required for security, legal, billing, or operational reasons.
